Everything below can be copied straight into a vendor application. Anything that has to be issued as a document — certificate of insurance, W-9, license certificate — is sent on request, so the current version is always the one you receive.

What the vendor packet contains
Ask and it comes back as a single email. If your panel uses a portal or a specific form set, send those instead and we will complete them.

Defined service area
Insurance assignments are accepted within roughly 100 miles of Lynchburg, Virginia, including Central Virginia and surrounding markets. Farther out, we quote the travel honestly before accepting rather than absorbing it into an hourly line you cannot audit.

Billing and conduct standards
No mileage or travel charges
Within the defined coverage area, travel time and mileage are not billed. A surveillance budget set against a reserve should match the invoice that arrives.
Rates confirmed in writing
The applicable rate and any estimated hours are confirmed before work begins. Submitting an assignment does not by itself constitute acceptance.
Authorization caps respected
Authorized hours are not exceeded without prior approval from the assigning contact. If the file needs more, you hear about it before it is spent.
Lawful, defensible method
Observation from places the public may be. No trespass, no recording where privacy is reasonably expected, no tracking devices, no pretext for financial or medical records, no contact with the claimant.
Negative results reported plainly
A day that produced nothing is reported as a day that produced nothing. A file that stretches once cannot be relied on anywhere.
Evidence handling
Time-stamped, unedited video and photographs with an intact chain of custody, delivered to the assigning party and its counsel only.
Testimony
The investigator who performed the work is available for deposition and hearing testimony as to what they personally observed.
Confidentiality
Claim information is kept confidential except as required by law, and work product is not released to anyone outside the assigning party and its counsel.
